How SANE Europe collects, uses and protects personal data.

This Privacy Policy explains how personal data is processed through the SANE Europe website, in accordance with Regulation (EU) 2016/679 (General Data Protection Regulation — GDPR) and applicable Portuguese data-protection law.

The controller’s main establishment is in Portugal. The processing of personal data through this website is governed by the General Data Protection Regulation (EU) 2016/679 and applicable Portuguese data-protection and electronic-communications law.
2. Personal data we process
- Contact requests: name, email address, subject, message, date of submission, IP address and relevant technical/security metadata.
- Ambassador and project profiles: name, photograph, country, sport or professional background, biography, interests and public social-media links, where publication has been authorised.
- Website use and security: server logs, browser/device data, requested pages and security events.
- Language preference: the language selected through GTranslate.
- Project administration: information that may be necessary to demonstrate project activities, communication and grant compliance.
3. Purposes and legal bases

Where processing is based on consent, consent may be withdrawn at any time without affecting processing carried out before withdrawal.
4. Contact form
The contact form is provided through Forminator. Submissions are stored in the website database and sent by email to authorised project personnel. Required fields are identified in the form. Please do not include sensitive personal data unless it is strictly necessary and has been specifically requested.
5. Recipients and service providers
Personal data is accessible only to authorised persons who require it for the purposes described above. It may be processed by hosting, website maintenance and email providers acting on documented instructions. Information may also be shared with SANE consortium partners, the European Union, EACEA, auditors or public authorities where necessary for project implementation, grant reporting or compliance with law.
The website uses GTranslate/Google Translate as an optional translation service. When the service is activated, technical data such as the visitor’s IP address, browser information and page content may be transmitted to Google. See the Google Privacy Policy and our Cookie Policy.
6. International transfers
Some service providers may process data outside the European Economic Area. Where this occurs, the controller will rely on an applicable adequacy decision, approved standard contractual clauses or another lawful transfer mechanism, together with supplementary safeguards where required.
7. Retention
- Contact-form submissions and related correspondence: up to 12 months after the last relevant communication, unless a longer period is required to establish, exercise or defend legal claims.
- Technical and security logs: for the shortest period necessary for security and troubleshooting, according to the hosting provider’s documented schedule.
- Ambassador profiles and media authorisations: while the profile remains relevant to the project and for the period documented in the applicable authorisation, subject to legal and archival requirements.
- Grant, audit and project evidence: for the period required by the grant agreement and applicable law.
Data will then be deleted or irreversibly anonymised, unless continued retention is legally required.
8. Your rights
Subject to the conditions of the GDPR, you may request access, rectification, erasure, restriction of processing, data portability or object to processing. Where consent is used, you may withdraw it at any time. You also have the right not to be subject to a decision based solely on automated processing that produces legal or similarly significant effects.
To exercise a right, email jorgepina.associacao@gmail.com. We may request information necessary to verify your identity and will normally respond within one month.
You may lodge a complaint with the Portuguese supervisory authority, the Comissão Nacional de Proteção de Dados (CNPD). Where applicable, you may also contact the data-protection authority in the EU or EEA country of your habitual residence or place of work.
9. Children and young people
This public website is not intended to collect personal data directly from children. Where photographs, biographies or project activities involve minors, the project will apply appropriate safeguarding measures and obtain the authorisation required from a parent, guardian or other lawful representative.
10. Security
Appropriate technical and organisational measures are used to protect personal data, including access controls, software updates, backups and anti-abuse measures. No method of transmission or storage is completely risk-free.

Information about cookies, translation functionality and third-party services is available in the Cookie Policy. Links to external websites do not mean that those websites are controlled by SANE Europe; their own privacy terms apply.
12. Changes to this policy
This policy may be updated when the website, project activities, service providers or legal requirements change. The latest version and revision date will always be published on this page.
